This policy applies to the Knoxville Built This website at knoxville.builtthis.ai and its registration and reservation-management tools. Knoxville Built This is hosted by CGI Federal in partnership with 121 Tech Hub. In this policy, “we” means the Knoxville Built This event team. This policy does not cover the personal projects you create, your own device or AI accounts, or third-party websites and services.
Information we collect
Information you provide. When you register or manage a reservation, we collect the adult reservation owner’s name, email address, optional phone number, age group, experience level, project interests, AI-account readiness, accommodation requests, and consent acknowledgement. For an additional adult attendee, we collect their name and age group and may collect optional contact details. For an attendee ages 13–17, we store only the placeholder “Minor Child,” the teen age category, and the attending parent or legal guardian’s name. We do not collect or retain the teen’s actual name, email address, or phone number.
You create a password to manage your reservation. We store a one-way password hash, not the readable password. If you request a password reset, we temporarily store a reset token. Please do not put medical records, passwords, financial information, government identifiers, or other sensitive information in an accommodation request.
Information collected automatically. Our server receives technical information such as your IP address, browser user agent, request time, and ordinary server logs. We use an essential session cookie for form security, reservation access, and administrative sign-in. The cookie expires when the browser session ends. We do not use this site’s code for advertising cookies, behavioral advertising, or marketing pixels.
How we use information
- Process registrations, assign confirmed or waitlist status, and manage event capacity.
- Send confirmations, password-reset messages, setup guidance you request, and operational event updates.
- Let you review, update, or cancel your reservation.
- Plan for accessibility, dietary needs, age requirements, and photo opt-out requests.
- Prevent abuse, secure the site, troubleshoot problems, and maintain event records.
- Use aggregated or de-identified information to improve future community events.
How we share information
We may share registration information with authorized members of the event team, CGI Federal, 121 Tech Hub, and event service providers only as reasonably needed to operate the event and website. Service providers may include website hosting and email-delivery providers. We may also disclose information when required by law, to protect safety or rights, or in connection with investigating misuse.
We do not sell, rent, or trade personal information, and we do not use registration information for targeted advertising. We do not collect payment-card information on this site.
Third-party services and links
The AI:AF event page embeds Google Maps, and site pages load fonts from Google Fonts. Google may receive technical information such as your IP address, browser information, and the referring page under its own privacy practices. Links to hosts, mapping services, and AI providers take you to services we do not control. Your use of an AI service is governed by the terms and privacy policy you agree to with that provider.
Teens and children
The event is for people age 13 or older. Attendees ages 13–17 must be added to a reservation owned by an attending adult, and their parent or legal guardian must be registered in the same group and actively supervise them throughout the event. Teens may work hands-on with an AI tool only when its provider permits use at their age and any required parent or guardian permission is in place. We do not knowingly collect personal information from anyone under 18 through the attendee fields. If we learn that such information was submitted, we will delete it.
Photos and video
Photography or videography may take place at this public event by attendees, hosts, or event sponsors and may be shared afterward. You can request that your group not be included by selecting the photo opt-out during registration or contacting us. We will make reasonable efforts to honor the request, but we cannot control photography by every attendee in a public setting.
Retention and security
We keep information only as long as reasonably needed to operate and follow up on the event, maintain appropriate business and security records, resolve disputes, and meet legal obligations. Backup copies and server logs may remain for a limited period after active records are removed. We use safeguards including encrypted connections, access controls, hashed passwords, session protections, and two-factor authentication for event administrators. No method of storage or transmission can be guaranteed completely secure.
Your choices
You can use the reservation-management tools to correct many details or cancel your reservation. To request access, correction, or deletion, to change a photo preference, or to stop nonessential email, contact us. Deleting information needed to administer an active reservation may require us to cancel that reservation. Rights may vary by location, and we will respond as required by applicable law.
